How do I access my Patient Portal?
After you book your intake appointments, you'll receive an email from our patient software with the subject line “Patient Portal Access Link”.  This will prompt you to register for a new account.

This action is time-sensitive.Simply click “Register Here”, fill out all the information and create your own password.

In the Patient Portal, you’ll see a SmartForm section where you will find your intake and consent form.  Typically these forms take about 20 mins to fill out but MUST be filled out before you meet with your practitioner.

How do I log in for my virtual appointment?
The link to your appointment will be sent the morning of or day before your appointment. The Outsmart EMR system does work on mobile devices as well as your desktop computer. Follow the instructions found in the emails sent from the system to log into your appointment. Choose "continue in browser" when using your mobile device.
What are my appointment fees covering?
The cost of delivery of health care is difficult to imagine in Ontario when the majority of health care services are paid through taxation and the publicly funded health care system (OHIP).

Some of the costs associated with your appointments includeA physical space or HIPPA compliant virtual platform to have your visit.

- Malpractice insurance and registration for your Naturopathic Doctor accounts for $12-17 per hour of patient time.

- A dedicated staff who have specialized training in supporting patient care.

- Additional case work that occurs outside of your visit, which may include reviewing forms, lab work, writing letters, researching your case and preparing for your visit.

- The time with your Naturopathic Doctor

This amounts to a significant per-patient cost to provide the level of care that patient's desire. We do not double book our patients and your doctor promises to work hard on your case.
What do I do when my insurance runs out?
If you have health care benefits to offset the cost of your Naturopathic appointments, we're excited for you! Not all of our patients have private insurance. It can be very supportive to have an insurance plan that helps you reach your health goals. For many patients, their insurance coverage is a small portion of the cost of their visits, or does not extend through a full year of Naturopathic support. Most of our patients spend approximately $1000-1500 per year on Naturopathic appointments. Many benefit packages offer $500 or less, or cap a per-visit cost of $30-50.

We never dictate our suggestions or your plan based on your insurance, and only offer suggestions that are in your best interest. For some patients, the recommended visit schedule is less than their insurance would allow. For some patients, their needs exceed their insurance. Choosing to continue your care after your insurance expires is a personal decision. We find that patients who maintain their momentum, and are seen at least quarterly, reach their health goals. Talk to your doctor about your needs. If your last visit has been more than 6 months, we require a longer reactivation appointment to get reconnected. For many patients, it's worth while to continue their momentum with shorter appointments.
Why do I need to leave my credit card?
Your credit card is required to secure your appointment with your Naturopathic Doctor to confirm your commitment to the time with the practitioner. When we commit to working with a patient, we reserve 1-1 time. We also set aside time to manage their case, read their intake forms, develop their plan and communicate with their other health care practitioners.

When patients ask to be seen by a naturopathic doctor, they are asking for a significant amount of resources be reserved for their care. We are passionate about being able to offer this level of care, but also require patients to commit - by securing their credit card information.

A secured appointment means that both the patient and the office are equally committed, and secures payment for the appointment resources if patients do not show up, or cancel at short notice.

You will always be notified if your credit card is going to be used and receive an invoice for the transaction.

Examples of Credit Card Charges Include: To secure your appointment, pay for your appointment or lab work or be billed for a missed appointment with your Naturopathic Doctor.

Credit cards are stored with the same level of security, privacy and compliance as your medical records at the office.
What happens if I miss an appointment?
First off, we want to say that we understand how chaotic and unpredictable life can be. We understand that there will be moments in your relationship with us where you have turbulence in your life, that may cause you to miss an appointment or have to cancel without notice.

Our single greatest stress in our workplace is managing last minute cancellations. We have a policy in place to protect you and us. Patients agree to the policy when they join the office, and often are grateful that we do not double book their appointments or disrespect their time.

When you miss an appointment or cancel without notice (2-business days) you are responsible for the fee of the appointment you missed, regardless of the reason for the missed appointment. What we suggest for patients who feel that their schedule is too volatile to commit to their appointment time is to wait until they are more confident that they can book an appointment without missing it or having to reschedule.
How do I reschedule my appointment?
Rescheduling your appointment can be completed online through your Outsmart portal or by emailing admin@mailledevlin.com.

Here are some considerations before you reschedule.
The single greatest barrier to patients achieving their health goals is their ability to maintain their appointment schedule and the momentum of their plan. If any of these reasons are why you are considering rescheduling, we'd recommend you keep your appointment.

1. You didn't complete your lab work yet or tests are pending.
2. You felt like you didn't comply to your previous recommendations or are having a hard time prioritizing your plan.
3. You are disappointed in yourself and don't want to talk to anyone about it.You are deprioritizing your health because you are feeling busy and overwhelmed.

Reasons to reschedule that do not interrupt patient care or momentum:

1. Do you have a conflict with the appointment time but are able to reschedule within 1 week of your original date.
What if I have a question for my doctor before the next appointment?
Medical questions are complicated! When your doctor gives you direction or advice, they are considering your history, goals, current treatment plan, medications, allergies and more. Even a simple question such as "which protein powder should I use" or "can I add magnesium, I heard it's good for you" is a complicated answer, and requires the time and attention to answer correctly.

Every time your doctor answers you they have to open your chart, review your case and note their recommendations, the instructions they gave you and that you gave consent to the treatment. This cannot be accomplished over email or in a quick interaction.

If you have a question you have a few options!

1. You can book an appointment. It's very common as patients are starting out on their journey that they have more questions than can be fit in their allotted appointment time. Many patients need a call between their scheduled intake appointments.

2. Write down your question and ask your doctor in your next appointment. We totally understand how excited you are to get started on a good path! Most questions can wait until an appointment (and if they can't, we suggest an appointment!).

3. If you feel your question requires urgent care, it is always recommended that you access the necessary emergency services in your local area. Walk in clinic, urgent care centres or even calling your family doctor can be appropriate actions if you feel you need an urgent answer or are having a health crisis.
How do I share test results from my doctor?
Your patient portal associated with your email is the only way to share your documents with your doctor. It is a secure system that complies with the privacy laws in Ontario.

Click HERE access your portal. Use the email and password you used when you created the account. If you do not recall that information, choose "forgot password" and it will allow you to reset it.  

Under the documents and uploads section, you can drag and drop your PDF or other documents into your patient chart.

We cannot access your lab work by using your username and password for you lab account or your hospital access. We also cannot view lab work that are sent as links to your lab account. You need to download the PDF of your lab work and upload it into your patient file for your doctor to be able to view it.

How do I find my treatment plan and lab results?
You can log into your Patient Portal to view your treatment plan (and labs or other documents if applicable) from your visit. You will not require a new access code, but here are the instructions for logging in:

1. Go to https://portal.outsmartemr.com, and log into your account.

2. If you have forgotten your password click on "forgot password" to reset. If you know your password, enter and click login.

That's it! Your dashboard will refresh, and you are now connected to your medical data! Your Treatment Plan is contained in the Documents tab.
